Booking Process — Step by Step

1

Customer Books Your Event

A client finds your event on SimiTolk and makes a booking. You'll see it in the "Bookings" tab under "New". The booking shows client name, event type, date, and payment status.

2

Confirm Details

Review the booking details with the client. Confirm event date, venue, guest count, and any special requirements. Click "Accept" to confirm the booking.

Use the built-in chat to communicate with clients about event details, special requests, and changes!
3

Coordinate Logistics

Plan all event arrangements — venue setup, catering, decoration, entertainment, and staffing. Use the Requirements section to create supply lists and track procurement.

4

Event Day Execution

On the event day, set up the venue, manage vendors, coordinate the schedule, and ensure everything runs smoothly. Use Live Location to keep clients updated in real-time.

5

Collect Feedback

After the event, encourage the client to leave a review. Good reviews boost your ranking and attract more clients.

6

Get Paid

Once the return window (7 days) closes, funds are released from escrow and settled to your bank account via the next payout cycle.

Booking Confirmation

Always confirm booking details with the client before the event. Miscommunication about dates, venue, or guest count is the #1 cause of event issues. Use the chat feature to keep all communication documented.

5

Venue Management (Hall / Venue)

Set up and manage your venues to attract more bookings. A well-managed venue listing gets more attention from clients.

Venue Types Supported

SimiTolk supports a wide range of venue types. Choose the one that fits your business.

Hotel / Hotel Set

Full hotel venues with rooms, banquet halls, and conference facilities for large events.

Banquet Hall

Dedicated banquet spaces for weddings, receptions, and formal celebrations.

Lawn / Farmhouse

Outdoor venues — gardens, lawns, and farmhouses for open-air events and parties.

Coffee Shop / Restaurant

Intimate venues for small gatherings, corporate meetings, and social events.

Room / Community Hall

Affordable spaces for workshops, meetups, and community events.

Setting Up a Venue

1

Capacity & Pricing Setup

Set the venue capacity (number of guests) and pricing per event type. You can set different prices for different event categories.

2

Booking Types

Define which booking types are supported: Couple, Family, Friends, Private, or Office. This helps clients find venues that match their needs.

3

Type-Specific Amenities & Fields

Each venue type has unique fields — Hotels have room types, Banquets have hall sizes, Lawns have open area specs. Fill in all relevant details.

4

Upload Venue Photos

Add high-quality photos of the venue from multiple angles. Include exterior, interior, stage area, seating, and any special features.

5

Set Advance Payment % & Cancellation Policy

Define the advance payment percentage required (e.g., 50%) and your cancellation/refund policy. This protects both you and the client.

Venue Tips

Upload at least 5-10 high-quality photos for each venue. Include wide-angle shots, detail photos, and photos from actual events held at the venue. Venues with more photos get 3x more bookings!

6

Event Gallery

Build a stunning portfolio of your past events. A great gallery attracts more clients and builds trust.

1

Upload Event Photos & Videos

Go to Event Photos and upload photos from your past events. Add videos of event highlights, setup timelapses, and client testimonials.

2

Add YouTube Links

Paste YouTube links for event highlight reels, walkthroughs, and video testimonials. Embedded videos make your profile more engaging.

3

Categorize by Event Type

Organize photos by event type — weddings, corporate, birthdays, etc. Clients can browse your portfolio filtered by the event type they're interested in.

4

Build Your Portfolio

Keep adding new photos after every event. A regularly updated gallery shows you're active and experienced. Aim for at least 20-30 photos per event type.

Gallery Best Practices

1. Use high-resolution photos (minimum 800x600px)
2. Show variety — different event types, themes, and setups
3. Include photos of happy clients (with permission)
4. Add captions describing each event
5. Upload consistently — add new photos after every event

7

Earnings & Payouts

Understand how payments work — from client booking to your bank account.

7 Day Window

To Your Bank

How Payments Work

1

Escrow Holds Funds

When a client books and pays for an event, the funds are held securely in escrow. This protects both you and the client until the event is completed.

2

Return Window (7 Days)

After the event, there's a 7-day window during which the client can raise any issues. This is standard protection for both parties.

3

Automatic Settlement Cycles

After the return window closes, funds are automatically scheduled for settlement. Settlements happen in regular cycles (weekly or bi-weekly).

4

Bank / UPI Payouts

Funds are transferred directly to your registered bank account or UPI. Track all payouts in the My Payouts section of your dashboard.

Track in My Payouts

Visit the Payouts/Escrow section to see your current escrow balance, pending settlements, completed payouts, and transaction history. Keep your bank details updated to avoid payout delays.

8

Advanced Features

Beyond basic events — here's everything else your dashboard can do to supercharge your event planning business.

Live Location

Share your real-time location with clients during events. Keep them informed about vendor arrivals, setup progress, and your current position.

Requirements

Create grocery and event supply requirements for your events. Build procurement lists, track vendor orders, and manage event-day supplies.

Featured Offers

Promote your brand on the SimiTolk homepage. Featured listings get prime visibility and attract high-value clients looking for event planners.

Festival Offers

Create special seasonal promotions during festivals — Diwali, New Year, wedding season. Attract clients with limited-time deals and packages.

Event Gallery

Upload and showcase photos from past events. Build a portfolio that convinces clients to book you for their special occasions.

Hall / Venue Management

Add and manage multiple venues with capacity, pricing, amenities, and booking policies. Assign venues to specific events.
